Electronic Document Management for Tenders

Our electronic trading platform has long been providing electronic document management (EDM) for its registered users. For our customers to have even more convenient tools, we have improved our EDM by integrating Signy in our interface. Now EDM will be available through a single account, without additional authorization and registration. Users working in commercial bidding or Prozorro public procurement will be able to use the new functionality as early as on July, 27, 2020.

Advantages of Integrating Electronic Document Management

The online document exchange service has some advantages, thanks to which we decided to integrate it into the platform:

1. Providing instant communication between the winner and the customer.
2. Minimizing the period between the announcement of the winner and the delivery of a product or service, which is especially necessary for critical and urgent procurements.
3. Avoiding paperwork and manual data entry.
4. No costs for postal or courier services.
5. Storage of all information about the purchase and the ability to work with it in a single workspace, with a common account and an end-to-end process.
6. Support for using a single account, as users of Google, Microsoft, Apple, and other IT industry leaders do.
7. The higher legal significance of documents signed with an electronic digital signature (EDS) compared to those signed with a hand signature, which can be challenged in court.

Most users (bidders and customers) have long been using Signy, and its introduction to the site’s basic functionality will make working with documents even easier and faster.

How SmartTender and Signy Integration Will Work

After the winner is determined in the Prozorro tender or the commercial tender (and the appeal period ends, if it is a public procurement), the winning supplier and the customer who announced the tender will have a "Sign the contract in Signy" button on the detailed purchase information page.

To sign the necessary documents, the bidder can also go to the page of the Signy from the letter with acknowledgment of winning the tender. A state or commercial customer always has the opportunity to go to the electronic document management service from his account on the SmartTender.

Integration, which currently has no analogs in the Ukrainian market, allows you to initiate the sending and signing of an agreement in a few clicks. Complete purchase information with all contact details is automatically filled in by the system in a machine-readable format, without manual line-by-line input and additional authorization.

In addition to signing contracts, users of our platform can exchange any other documents using the Signy service: additional agreements, acts of completion, invoices, electronic waybills, etc. All this will greatly simplify the interaction of customers of the site and allow suppliers to concentrate on victories. And customers will be able to concentrate to organize the most profitable and successful purchases.
